Job Specification:
 
To provide comprehensive support to the Business Development Team. The post holder is expected to be flexible in supporting the varied functions of the Business Development Team, and other IFC teams working as part of the wider team.
 
 
Key Responsibilities:
 
Monitor marketing spreadsheet with updating all events attended by JB/CE/PMc etc plus any costs involved and who attended what
 
Ensure all events attended have a project number so any contacts made can be logged against the relevant project
 
Logging business cards onto USq
 
Oversee organising of lunchtime lectures with Chris M.  Produce sign in form and make a note of attendance on the spreadsheet.
 
Ordering company business cards via Exposure
 
Oversee organising BD events i.e. contracts/branding
 
Assisting in booking flights via Flight Centre – usually requested by IFCC
 
Organising travel visas for IFCC through Visa World
 
Booking accommodation
 
Ensuring receipts are obtained for booking events where costs are involved, giving each one a PO no. and project no.
 
Logging costs onto PO spreadsheet, both IFC and IFCC
 
Updating Marketing calendar on a daily basis, if necessary.  Noting who will be attending which event.
 
Covering, where required, reception duty/product/fire engineering
 
Monitoring stocks and ordering, if necessary, BD flyers for IFC and IFCC via Exposure and other marketing collateral
 
Where required, ‘stuffing’ folders with BD flyers for events and ensure all collateral required is ready for JB/CE to take with them
 
Overseeing IFSA Secretariat, which includes attending 4 meetings a year one of which is the AGM.  Liaising with Shila and monitoring the
 
Association’s bank account.
 
Organising travel claims through BSI for European and International trips, mainly for Chuck, Hans and David C for their CEN or ISO committee meetings, ensuring the deadline for the claim is met.  This includes liaising with Shila.
 
Inputting of enquiries/projects on USq
 
Liaising with event organisers to ensure deadlines are kept 
 
Overseeing any exhibitions or events
 
In order to avoid missing any kind of deadline, imperative to set reminders and follow up
 
Publish all correspondence, etc to the relevant project on USq
 
Monitor ifc@intfire.com email box and forward any relevant emails to the correct recipient
 
Have to be able to work unsupervised, as it is usual to be left in the office on your own when Jeff & Carl are out at events.  Essential to keep workflow ongoing.
 
Organise and oversee the annual IFCC Steering Committee Meeting for Ian W
 
Ensure any CPD presentations conducted by fire engineering staff are given project numbers; produce sign in forms and certificates of attendance
 
 
Education & Experience:
 
Preferably educated to at least A level or equivalent.  Previous experience working in a Business Development Department would be an advantage.  Experience working with Microsoft Office Suite.
